Please read before booking. These website terms establish the general framework for Maison Legacy Hospitality LLC's catering, private dining, event planning, and hospitality services. Your event-specific proposal, invoice, Banquet Event Order (BEO), and signed service agreement control if they contain terms that differ from these website terms.

1. Inquiries, Proposals & Availability

Submitting an inquiry or consultation request does not reserve a date. Availability is confirmed only after Maison Legacy Hospitality (“Maison Legacy,” “we,” “us,” or “our”) accepts the event in writing, the applicable service agreement is signed, and the required retainer is received. Proposals are based on the information available at the time issued and may be revised if guest count, venue, menu, service level, rental needs, travel, staffing, or event timing changes.

2. Booking & Retainer

Unless an event-specific agreement states otherwise, a 50% non-refundable retainer of the contracted service total is recommended to secure the event date. The remaining balance is due no later than 14 calendar days before the event. A date is not held until the required agreement and retainer are received. Retainers compensate Maison Legacy for reserving personnel, production capacity, planning time, and turning away other work.

3. Pricing, Taxes, Service Charges & Additional Costs

Quoted pricing may include food, staffing, planning, rentals, travel, equipment, and other services as specifically listed in the proposal. Applicable sales tax, service charges, gratuities, venue fees, permits, rental charges, delivery, parking, travel, lodging, overtime, security, and third-party vendor costs may be additional unless expressly included. Any material change requested after approval may require a revised proposal or change order.

4. Final Guest Count & Event Details

Unless the signed agreement states another deadline, the final guaranteed guest count is due 10 calendar days before the event. The final count becomes the minimum number billed for food and staffing. Increases after the deadline are subject to availability and additional charges. Reductions after the deadline generally do not reduce the contracted food or staffing charges because purchasing and production commitments may already have been made.

5. Menu Changes & Substitutions

Menus are customized to the event. Maison Legacy may make reasonable substitutions when a particular ingredient becomes unavailable, unsafe, or impractical, while maintaining the intended quality and character of the menu. Client-requested changes after menu approval may affect pricing and production feasibility. Special-order ingredients and custom products may be non-refundable once purchased.

6. Dietary Restrictions & Allergies

Clients must disclose known dietary restrictions and allergies in writing as early as possible and no later than the final-detail deadline. Maison Legacy will use reasonable professional precautions and may provide reasonable alternatives when agreed in advance. Because food may be prepared in shared kitchens and environments, we cannot guarantee an allergen-free environment or eliminate the risk of cross-contact. Severe allergies must be discussed with Maison Legacy before booking.

7. Cancellation

Unless a signed event agreement provides a different schedule, the following recommended cancellation schedule applies: more than 30 days before the event: the retainer remains non-refundable; 15–30 days: up to 75% of the contracted event total may be due; 14 days or fewer: 100% of the contracted event total may be due. Non-refundable third-party commitments, special-order purchases, rentals, permits, travel, and vendor charges may remain due regardless of timing. Any refund, credit, or waiver will be determined under the signed agreement and applicable law.

8. Rescheduling & Postponement

Rescheduling is subject to Maison Legacy availability, vendor availability, and updated pricing. Where practical, one requested date change made at least 30 days before the original event may be transferred to a new date within 90 days, with the retainer applied to the new date. A rescheduled event is not confirmed until the new date is accepted in writing. Third-party costs and price differences may apply.

9. Event Timing, Access & Overtime

The proposal or BEO will identify the contracted service window. Client delays, venue access restrictions, extended guest service, or changes that require the team to remain beyond the contracted end time may result in overtime or additional staffing charges. Clients are responsible for ensuring reasonable access to loading areas, kitchens, prep space, utilities, elevators, parking, and venue-required credentials unless otherwise agreed.

10. Venue, Vendors & Client Responsibilities

The client is responsible for accurate venue information and for obtaining permissions required for the event unless Maison Legacy expressly agrees to manage them. Venue rules, fire-code limits, alcohol requirements, insurance requirements, security, power, refrigeration, waste removal, and other site conditions must be disclosed before final approval. Maison Legacy is not responsible for delays caused by venue restrictions, other vendors, guests, or inaccurate information supplied by the client.

11. Alcohol & Regulated Services

Alcohol service, if offered, is subject to applicable federal, state, and local laws, venue rules, licensing, and insurance requirements. Maison Legacy may decline alcohol service or require a licensed third-party provider when legally or operationally necessary. Alcohol-related costs, permits, bartenders, security, and insurance requirements will be stated in the event agreement.

12. Rentals, Property & Damage

Unless expressly included, furniture, tabletop items, linens, glassware, equipment, décor, and specialty rentals are additional services. The client is responsible for damage or loss caused by guests or other persons under the client's control, except to the extent caused by Maison Legacy's negligence. Third-party rental terms may also apply.

13. Force Majeure

Neither party is responsible for failure or delay caused by circumstances beyond reasonable control, including severe weather, natural disaster, government action, public-health emergency, venue closure, transportation disruption, labor disruption, utility failure, civil disturbance, or other extraordinary events. The affected party should provide prompt notice and use reasonable efforts to mitigate the impact. Available remedies, including rescheduling, credit, refund, or termination, will be determined under the signed agreement and applicable law.

14. Limitation of Liability

To the fullest extent permitted by law, Maison Legacy's liability arising from an event or service will be limited to the amounts actually paid to Maison Legacy for the affected services, except where such limitation is prohibited by law. Maison Legacy will not be liable for indirect, incidental, special, or consequential losses to the extent permitted by law. Nothing in these terms excludes liability that cannot legally be excluded.

15. Photography & Marketing

Maison Legacy may photograph food, décor, tablescapes, and event details for portfolio and marketing purposes. We will not intentionally use identifiable images of clients or guests for marketing without appropriate permission or a separate release. Clients may request reasonable restrictions on photography in advance.

16. Intellectual Property

Maison Legacy retains rights in its original menus, concepts, recipes, written materials, photographs, designs, proposals, and branding unless otherwise agreed in writing. Client-specific deliverables may be used by the client only for the purpose for which they were provided and may not be commercially reproduced without written permission.

17. Website Content

Website photographs and descriptions illustrate Maison Legacy's style and capabilities. Actual dishes, ingredients, plating, décor, staffing, rentals, and event details may vary by proposal. Website content is not a promise that every pictured item or service is included in a particular package.

18. Electronic Communications & Signatures

Maison Legacy may communicate proposals, invoices, agreements, approvals, and event documents electronically. Electronic signatures and approvals may be used where permitted by applicable law.

19. Governing Law & Disputes

Unless the event-specific agreement states otherwise, these website terms are intended to be governed by the laws applicable to Maison Legacy's principal place of business in New York. Any mandatory consumer protections or other rights that cannot lawfully be waived remain unaffected. Event-specific agreements may contain additional dispute-resolution provisions.
